Guide letter 13: Advice to client on authority conditions

Guide letters provide advice about matters architects should consider when composing letters to the parties involved in architectural projects.

1. Caution

1.1 The approval of certain authorities is generally required for all projects. Check with local authorities and advise your client if exemptions are available for very minor works.

2. When and how?

2.1 The effect of the conditions of approval should be assessed by you and other specialist consultants and the client should be advised of the implications as soon as possible after approval.

3. Content

Refer to:

  • approval advice from the relevant authorities;
  • conditions of approval; and
  • the implications arising out of the conditions or modifications in respect of cost, time, quality, performance etc.

Advise:

  • action to be taken and by whom; and
  • when a decision is to be made to maintain the program.

Request:

  • client's decision.
4. Action

4.1 Writing this letter is strongly recommended in all applicable circumstances.

5. What happens next?

5.1 Implement the actions agreed with the client.

6. What can happen if you don't?

6.1 Clients are unable to make a decision until they are informed that a decision is necessary. Failure to advise your client of the implications of conditions of approval may result in substantial delay and additional cost to the project.
